Our priority — your privacy and trust

We want you to clearly understand why and how your information is used. Our goal is to make sure you feel safe whenever you share your data with us.

Personal data is any information that allows you to be identified, directly or indirectly. We process personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (the General Data Protection Regulation, “GDPR”), the Latvian Personal Data Processing Law, and other applicable legislation.

Transparency matters to us — we want you to know what data we collect, why we collect it, what your rights are, and how to reach us. If this policy changes, we will publish the updated version on the website with a clear effective date.

What information we collect and why

1. Website visits

To keep the website running securely, prevent abuse, and improve the user experience, we may process technical data about your visit — your IP address, browser and device type, language preferences, pages viewed, and date/time.

Legal basis: our legitimate interests (security and functionality of the website) and — for analytics data — your consent given through the cookie banner.

2. Contacting the project team

If you contact us by email or through a contact form on the website, we process your name, email address, and the content of your message in order to respond to your enquiry.

Legal basis: our legitimate interests (responding to your request) and, where applicable, your consent.

3. Newsletter sign-up

If a newsletter sign-up is offered on the website, we process your email address and, if you provide it, your name in order to send you project updates. You can withdraw your consent at any time using the unsubscribe link in every email.

Legal basis: your consent (GDPR Article 6(1)(a)).

4. Cookies

Our website uses cookies. Detailed information is provided in a separate Cookie Policy.

Data sources

We obtain personal data primarily directly from you — when you visit the website, contact us, or sign up for the newsletter.

Who we share data with

We do not sell your personal data and we never share it with third parties for marketing purposes without your consent. Recipients may include:

  • Authorised processors — technical service providers (website hosting, email delivery, analytics) who act on our behalf under a written processing agreement.
  • Project partners — only to the extent necessary for project implementation and with appropriate safeguards in place.
  • Public authorities and law-enforcement bodies — only where required by law or to comply with a legal obligation.

International data transfers

Personal data is mostly processed within the European Union or the European Economic Area. If any of our processors transfers data to a third country, this only happens where an adequate level of protection is ensured — for example through the European Commission’s Standard Contractual Clauses or an adequacy decision.

How long we keep your data

We only keep personal data for as long as is necessary for the specific purpose, or as required by law:

  • Contact data — until your enquiry has been resolved and a reasonable period afterwards in line with our legitimate interests.
  • Newsletter sign-up data — until you withdraw your consent.
  • Technical and analytics data — for the periods stated in the Cookie Policy.

Once the retention period ends, the data is securely deleted or anonymised.

Data security

We apply appropriate technical and organisational measures — TLS encryption in transit, access controls, regular security updates, and carefully selected processors. However, no internet transmission is 100% secure, so we encourage you to also take care when handling your own personal data.

Your rights

Under the GDPR, you have the following rights regarding your personal data:

  • Right of access — to obtain confirmation of whether we are processing your data and to receive a copy of it.
  • Right to rectification — to have inaccurate or incomplete data corrected.
  • Right to erasure (“right to be forgotten”) — to have your data deleted, where this is not in conflict with legal obligations.
  • Right to restrict processing — in specific situations.
  • Right to data portability — to receive the data you have provided in a structured, commonly used and machine-readable format.
  • Right to object to processing based on our legitimate interests.
  • Right to withdraw consent at any time, where processing is based on consent. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.
  • Right to lodge a complaint with a supervisory authority — the Data State Inspectorate of Latvia.

To exercise these rights, please contact us at riverflow@lvgmc.lv. We may need additional information to verify your identity.

Complaints and contact

If you have any questions or concerns about how your personal data is handled, please contact us first. If you do not receive a satisfactory response, you have the right to lodge a complaint with the supervisory authority — the Data State Inspectorate of Latvia (www.dvi.gov.lv).
